Operations Administrative Assistant

With headquarters in Nashua, New Hampshire, HMIS, Inc. is one of the largest providers of web-based integrated business management solutions to the funeral, cemetery and mortuary industry. We are currently seeking a mid to senior level administrative assistant to provide key administrative support to the corporate management team for this software development firm. The position reports to the COO.

Responsibilities:


  • Collect, process and record employee timesheets using Crystal Reports.

  • Process customer invoices and billing forms to Sales & Revenue spreadsheet.

  • Type customer proposals and update proposal spreadsheet.

  • Add/create new customer files and add information to on-line Customer & Sales spreadsheets.

  • File and retrieve documents and reports as needed, and update as necessary.
  • Process incoming checks/deposits, credit card invoices and manage petty cash distribution.

  • Provide reception coverage and in-coming phone support as needed.

  • Other duties include: order office supplies, filing of financial and customer records, type meeting notes, assist in coordinating meetings, prepare outgoing mail and UPS for delivery and facilities management liaison.

  • Assist in ad placements in industry publications.

Required Skills:


  • Minimum Associates degree with at least 2 years experience in a similar position.

  • Computer literate. Knowledge of MS Office, including Word, Excel, Power Point, Outlook.

  • MS SharePoint and help desk knowledge a plus.

  • Ability to work in a close team environment.

  • Strong written and verbal communication skills.

  • Excellent organizational and time management skills.

  • A good sense of humor.
